Whatlington Village Hall

The Hirer agrees to the following Health and Safety Guidelines:
1. Emergency Exits: Familiarise yourself with the location of emergency exits and ensure they are not obstructed at any time. Notify all disabled users that the only exit, in the event of fire, is via the main front door. During events please ensure disabled attendees are seated by the main exit door.
2. Fire Safety:

Do not exceed the maximum occupancy limit of 80 people seated / 100 people standing.

No open flames, including candles, are permitted without permission.

Report any fire hazards immediately to the Hall Management.
3. First Aid: A first aid kit is available on top of the cupboard to the right of the main front door. Emergency contact numbers are signposted. The Hirer should ensure that someone in their party is trained in first aid.
4. Food Safety: If food is being prepared or served:

Ensure all food is stored, prepared, and served safely.

Report any allergies or dietary requirements of attendees in advance.
5. Electrical Safety:

If the hirer brings any electrical appliances to the hall, they warrant that they are in good working order and free from damage and defects. Preferably, electrical appliances should have been checked by a competent person and have PAT stickers attached. Any damage caused to persons or property from faulty electrical appliances, not belonging to the Hall, will be charged to the Hirer.

No electrical leads over 10 metres in length are permitted. Please do not leave extension leads coiled on drums when in use, as this is a very common cause of fires. Please uncoil them completely.

The Hall Management check appliances in the Hall regularly. If you notice any damaged equipment, or anything you think is a potential risk, inform the Hall Management immediately.

Do not overload circuits by plugging in too many appliances and do not daisy-chain extension leads together.
6. Health Regulations: The Hirer must comply with all health regulations, including those related to public health concerns as applicable.
7. Accidents and Incidents: All accidents or incidents must be reported to the Hall Management immediately.
8. The Use of bouncy castles /external providers of inflatable or large play equipment: Please obtain risk assessments from third party suppliers and submit these with your booking request.
RESPONSIBILITY OF THE HIRER

Supervision: The Hirer is responsible for supervising all attendees during the event and the observation of safety conditions.

Damage: The Hirer agrees to be responsible for any damage to the hall or its contents during the hire period.

Cleanliness: The Hirer must leave the hall clean and tidy at the end of the hire period. If used, the cooker and fridge must be throughly cleaned prior to leaving. All rubbish must be disposed of properly in the black refuse bags provided. There is no council bin collection from the Hall.

Risk Assessments: Hirers must provide their own risk assessments for any high risk activities (e.g. the use of inflatables, live cooking and events open to the public not hosted directly by the Village Hall Committee)

Insurance: The Hirer is advised to obtain public liability insurance for events.
